Raptor bears responsibility for lawfully processing your data as carried on our site.
This policy applies to both individuals and companies who are our customers along with any other interactions you might have with Raptor. (e.g. enquires, signing up to newsletters)
Personal information collected from you may include your name, payment processing information, postal address, email address, landline or mobile telephone number, company name, job title, delivery details as well as other non-sensitive personal information. We may use third-party advertising companies to serve ads on our behalf. It is common practise for these companies to employ cookies and action tags to measure advertising effectiveness. Any information that these third parties collect via cookies and action tags is completely anonymous and your personal details are never given out as part of this process. Raptor uses a phone system that automatically records all phone conversations. We sometimes use these for training purposes, to improve our service and also to help resolve any disputes that may arise with customers. All conversations are held securely and are deleted after 6 months. We will never share or use this data with anyone.
When you visit our site we store the name of your internet service provider, the website from which you visited us from, the parts of our site you visit, the date and duration of your visit, and information of the device you are using (device type, operating system, screen resolution, language, country you are located in, and web browser type) during your visit. We only capture and store a truncated version of your IP address. It is captured and stored in an anonymised format by suppressing the last octet so your full IP address never reaches our servers and we never have access to it. We use services such as Hotjar, Woopra, and Google Analytics for this. We process this usage data to facilitate your access to our services (e.g. to adjust our services to the device you are using), and to recognise and stop any misuse. We also process usage data in an anonymised form for statistical purposes and to improve our site.
On our site you have the opportunity to contact us to ask us questions, for example via the contact form, and in order to respond we ask you for your contact information (e.g. name, email address etc.). We use this data solely in connection with answering the queries we receive. If you receive emails from us, we may use certain analytics tools, to capture data such as when you open our email or click on any links or banners our email contains. This data helps us to measure the effectiveness of our communications and marketing campaigns.
We use a select number of trusted external service providers for certain technical data analysis, processing and/or storage offerings. These service providers are carefully selected and meet high data protection and security standards. We only share information with them that is required for the services offered and we contractually bind them to keep any information we share with them as confidential and to process Personal Data only according to our instructions. We will only pass your data on to third parties without your express consent if we are obliged to do so by statutory law or an instruction by a public authority or court.
If you give us credit card information, we use it solely to check your financial qualifications and collect payment from you. We use a third-party service provider to manage credit card processing. This service provider is not permitted to store, retain, or use information you provide except for the sole purpose of credit card processing on our behalf.
We may occasionally send you notification emails about updates to our product, legal documents, offer customer support or marketing emails. Except for cases where we are required to do so by law (e.g. notifying you of a data breach), you have the opportunity to unsubscribe from receiving these messages free of charge. You can opt-out from our marketing communications by clicking on the “unsubscribe” link on the bottom of our emails or by sending us an email at firstname.lastname@example.org.
Where you have provided consent, you may withdraw it at any time, without affecting the lawfulness of the processing that was carried out prior to withdrawing it. Whenever you withdraw consent, you acknowledge and accept that this may have a negative influence on the quality of the Raptor website and/or Services. You further agree that Raptor shall not be held liable with respect to any loss and/or damage to your Personal Data if you choose to withdraw consent. Where Personal Data is processed for the above purposes on the basis of Raptor’s legitimate interests, under the GDPR, you may object to such processing at any time. To do so please contact: email@example.com.
For tax purposes, we store customer information in Agile CRM, our internal database and invoicing system for a period of 6 years.
All the other data processor systems retain data for the following periods:
